Filling out the Orchestra

    In our June 2025 newsletter, we used the picture of the orchestra to illustrate how VIP needs to work.  We equated the string section to all those voters connecting with their local candidates.  The percussion section pictures the varieties of technology that makes the website work.  The faithful behind the scenes workers are like woodwinds.  What is greatly needed is better promotion - like the brass section.

    A little history lesson:
     
    When VIP began in 1992, select candidates from parts of Sarpy and Douglas Counties were contacted by phone and the caller wrote down their answers. One of the early callers reported that a candidate talked faster than she could write, so she summarized what he said. She asked if what she had written accurately represented his answers. He even said her summary was better than how he had said it.
     
    A couple of years later, another caller emailed the candidate to make sure the answers had been understood correctly. That candidate wrote back asking to “fix” what she had said. “That is how I said it, but it sounds too negative.”
     
    In those days we published paper copies. People would drive to Bellevue to pick up “originals” for the price of photocopies, to make copies from to share with their circle of influence - often their church families. Also in those early days we would have answers from easily 85% of the candidates.
     
    Even as early as 1998 we did our first fledgling website. The information was presented by county and the voter would have to sift through all those races to find the names on their ballot. Back then they measured “hits” on the website and we were seeing 500,000. In 2011, the kind volunteers who had managed to keep repairing the aging website informed us the technology was so antiquated they couldn’t continue.
     
    In 2012, the new website made it possible for the candidates to answer directly online instead of doing the phone interviews. Now we were confident we were getting candidate responses in their own words. A couple of years later we were able to have voters find just the races, issues, and judges specific to their ballot. That level of technology required more money than our normal non-pay to volunteers. So, for donations to be tax-deductible, we applied for non-profit status. Our commitment to being non-partisan from the beginning meant we received the official 501(c)(3) designation.
     
    After a candidate from Elkhorn wondered why he was calling a Bellevue number, we started recruiting local volunteers who would have that candidate’s name on their own ballot. We ask the volunteers to keep track of contact attempts to help the voter gauge how responsive the candidate might be to constituents. As election cycles were rolling by, and volunteers appeared, we were able to add more counties.
     
    For the 2020 election we put on a new face for the website, making it even easier for voters to find the candidate responses, ballot issues, and information on the judges. Shortly after that we started the “job description” feature which helps the voter know just what the position is that the candidate is running for.
     
    BUT NOW    Maybe there is a way you could help....Read with that in mind....
     
    LOTS of other organizations do questionnaires online. In recent elections we are sometimes seeing less than 50% answering. In the 2024 General Election cycle, there were 51,000 new users (not hits) who were seeing candidates not responding. Campaign managers assure us that our questionnaire is the most “fair” they see. Candidates can’t figure out where we’re coming from on the political spectrum so they have to tell the truth, and not “slant” their answers to the view they think the questionnaire comes from.
     
    We suspect candidates do not know about us, or value us, because we put so much effort into trying to connect with candidates that not enough promotion is happening. 
     
    We think we need to do at least the following:  
    Keep Working, Find more workers, Find more promoroters, Find more leaders, Find more donors, Find more prayer warriors.
     
    Following see the details about what the responsibilities could be, in line with the organizational chart above.  Please note the word "could".  We are open to improvement!
     
    No matter the position of a volunteer, (including leadership) we look for:
    - integrity, not just telling the truth, but living it,
    - creativity (eyes open to see how to improve systems)
    - reliability (gets work done on time)
    - responsiveness (answers texts/email within a day)
     
    The Board of Directors makes the final decisions, though the Advisory Board provides input to the - Executive Director who requests prayer by writing up prayer needs which the prayer coordinator edits and adds Bible verses to and sends to the Prayer Warriors.  (Prayer warriors are recruited from churches or events.)
     
    Writers are needed for:
    - Questions design (aiming to learn the "why" behind the "what" the candidate values)
    - Describing Ballot Issues
    - Blogs (minimum of monthly)
    - Job Descriptions of candidate positions
    - Monthly newsletter
     
    Currently the Executive Director does the coordinating with the Webmaster - the only person paid for anything.   It would be a benefit if a database manager under the "administrative director" could decrease the load...Website Management would include:
    - Poll the Vote Manager/Voters Dashboard
    - Communicating and directing development
    - Discussing content presentation
    - Improving candidate connector reporting system
     
    Since promotion has been such a weak area, we really don't have an accurate guess for how much time it would take.  People stepping in to help in this area might get to write their own job description...
     
    PROMOTION Director 
    -maintains consistency of messaging
    -holds regular Zoom or real meetings with managers

    CHURCHES Manager
    - spearheads Voter Registration Effort
    - maintains messaging
    - holds regular Zoom or real meetings with church group coordinators
    - encourages systems for supporting and connecting with local church connectors
     
      • Catholic Coordinator
        • encourages/arranges for bookmarks to be handed out at Fish Fries
      • Protestant/Evangelical/non-denominational Coordinator
      • Charismatic Coordinator
    • Coordinators locate local church connectors to be the communicator to the church leadership for that local body/parish.
     
    Social Media Manager (could be quite varied in time required - more the merrier)
    - Gives leadership, in concert with ED/Board to Coordinators to Social Media Coordinators
    - Coordinates ideas that can be on several outlets at the same time 
    - Works with Blog writers to know when to announce blogs are available
    - Works with volunteer artist
    - Reports prayer needs to ExDir/prayer coordinator
    •  X-(formerly Twitter) coordinator  (should be a few hours once/week scheduling for week/y, then daily tweets)
      • invents ideas for tweets to do, acquiring "ok" from leadership
      • upload ideas leadership requests and notice of blogs
      • aim for weekly tweets throughout in-between elections, daily during election times
    • Facebook/Linked-In coordinator (should be a few hours once/week scheduling for weekly, then daily tweets)
      • invents ideas for posts to do, acquiring "ok" from leadership
      • upload ideas leadership requests and notice of blogs
      • aim for weekly posts throughout in-between elections, daily during election times
    • Instagram and/or other graphic-based social media coordinator (should be a few hours once/week scheduling for week/y, then daily tweets)

    Organizations Manager

    - offering to discuss supporting the organization's efforts by asking questions they want answers for
    - arranging for speaking engagements
    - create new connections with other organizations
     
    Potential Coordinators

    CANDIDATES Director
    This person's responsibility would be to find and encourage County Managers (formerly called coordinators) who then find workers by county.
     
    County Managers;  (3-8 hours/week for many weeks, depending on size of county)
    - works with database manager to help gather contact and website information (access code/URL) of candidates
    - recruits volunteers
    - identifies which volunteers live in the districts of the candidates
    - provides contact and website information to volunteers
    - maintains contact with volunteers - helping with reporting contact attempts
     
    Currently we have County Managers in Sarpy and Seward Counties, 
    Need Douglas (maybe 3 coordinators), Lancaster, Cass, Washington, Dodge
    If there are new volunteers we would be glad to open new counties!
     
    Candidate Connector (about 2 hours over 2 weeks - for connecting with about 4 candidates)
    - calls, texts, emails candidates whose names will be on the connector's ballot
    - explains VIP (script provided) to candidate, asks for their participation, giving a 5-day (or so) deadline
    - does follow-up with candidates
    - maintain records of contact attempts on the website (access provided)
     
    Contact Researcher
    - finds cell numbers/email addresses - work numbers - of candidates, may sometimes require physically going to the County Clerk's office.
     
    Administrative Director
    - keeps track of volunteers, connecting them to their areas of interest and/or expertise
    - encourages and communicates with
    • Treasurer (works with Donations Manager)
    • Lists Coordinator (MailChimp, Candidates)
      • Identifying contact information of candidates
      • Identifying party affiliation of candidates and judges
    • Databases Coordinator (puts information from website together with candidate information to provide to candidate connectors)
    • maintaining bookmarks supply
